Terms of Payment
1. Request and booking confirmation
A request sent through the website, email or WhatsApp is not an automatic booking. Bike Rental Bologna confirms a rental only after checking availability and sending the bicycle, price, timing, deposit and payment instructions in writing.
Requests received more than 60 calendar days before pickup remain provisional. No payment is collected, the bicycle is not confirmed and availability is not guaranteed. At 60 days before pickup, availability is checked again and the customer may confirm the rental by paying the required advance.
2. Advance payment, discount and balance
A 50% advance payment is required to confirm the rental, including requests made less than 60 days before pickup. For a rental confirmed at least 60 days before pickup, a 10% early-booking discount is applied first and the 50% advance is calculated on the discounted price. This discount cannot be combined with any other promotion, offer or reduction.
The advance may be paid through PayPal or instant bank transfer according to the written instructions. The remaining rental balance is handled at pickup together with the cautionary-deposit operation, while remaining a separate accounting amount.
3. Customer cancellation and refund

Cancellation must be sent by email or WhatsApp. The time Bike Rental Bologna receives the message determines the applicable bracket. Any PayPal fees actually incurred and not recovered are deducted from the refund. Bike Rental Bologna issues an approved refund within 1 working day; the time required for the amount to reach the customer then depends on PayPal and the relevant financial institutions.
4. Changes, no-show and exceptional circumstances
Requests to change the date, bicycle model or number of bicycles are assessed according to availability and are not automatically accepted. If the customer does not attend the agreed pickup, no refund is due; Bike Rental Bologna may, at its discretion and subject to availability, keep the booking on hold to agree a new date. Delays, weather, illness and other exceptional circumstances do not create an automatic right to a refund, although a new date may be considered in writing.
5. Cancellation or unavailability by Bike Rental Bologna
If Bike Rental Bologna cannot supply the confirmed bicycle, it will first seek to agree a suitable alternative. If no alternative can be supplied or accepted, all amounts already paid for the unavailable rental are refunded.
6. Cautionary deposit and accepted cards
The cautionary deposit is separate from the rental price. Its live amount is determined by bicycle model and quantity in ShifterUp CRM and does not change with season or rental duration. At pickup, the customer must present a valid identity document or passport and a physical Visa or Mastercard with PIN. Prepaid Visa and Mastercard cards are accepted when they hold sufficient funds and support pre-authorisation. American Express and virtual cards may be used for payment but not for the deposit pre-authorisation. Cash may be accepted if the pre-authorisation cannot be completed.
At return, Bike Rental Bologna charges the final rental cost and immediately submits the request to release the remaining deposit, except for documented sums due for damage, breakage, missing items or other obligations under the signed Rental Agreement.
7. Documents and applicable law
The customer must read the applicable Terms of Payment and sign the Rental Agreement before collecting the bicycle. The written booking confirmation and the accepted document version form part of the rental record. Italian law applies to matters not expressly covered. Mandatory consumer rights and jurisdiction remain unaffected.
